Meeting AI Setup Guide

Set up Meeting AI for real-time transcription, AI suggestions, and post-meeting summaries.

Getting Started

1. Subscribe

Head to the subscribe page and start your 30-day free trial. After payment, you will receive a license key via email.

2. Download Meeting AI

Download Meeting AI from the product page. Extract the ZIP file to your preferred location.

3. Install and Launch

Open the app. On Mac, you may need to follow the installation guide to bypass Gatekeeper. On Windows, click "More info" then "Run anyway" if SmartScreen appears.

4. Activate Your License

Enter your license key when prompted. This activates your subscription and unlocks all features.

First Launch

Whisper Model Download

On first launch, Meeting AI will download the Whisper transcription model. This is approximately 500MB and only happens once. The model is stored locally on your device and handles all audio transcription without sending audio to the cloud.

Choosing a Model Size

Meeting AI offers multiple Whisper model sizes. The "tiny" model is fastest and uses less memory, suitable for quick meetings where speed matters more than accuracy. The "medium" model provides better transcription accuracy and is recommended for most users. Choose based on your hardware and needs.

Audio Configuration

Selecting Your Microphone

Open Settings and choose your preferred microphone from the input device dropdown. If you use an external microphone or headset, make sure it is selected here rather than the built-in mic.

Enabling System Audio Capture

To transcribe what others say in a video call, enable system audio capture. This picks up audio playing through your computer (Zoom, Teams, Meet, etc.) alongside your microphone input.

Testing Audio Levels

Before starting a meeting, use the audio level indicator in Settings to verify both your microphone and system audio are being picked up. Speak into your mic and play some audio to confirm the levels respond.

AI Provider Setup

Adding Your API Key

Meeting AI uses an external AI provider (OpenAI or Anthropic Claude) for generating suggestions and summaries. Go to Settings and enter your API key for your preferred provider. You can get an API key from platform.openai.com or console.anthropic.com.

Choosing a Provider

Both OpenAI and Anthropic Claude are supported. You can switch between them at any time in Settings. Each provider has different strengths, so try both and see which works best for your meeting style.

Running a Meeting

Select a Context Preset

Before starting, choose a context preset that matches your meeting type. Options include Standup, 1:1, Interview, Sales, Client, and Brainstorm. Each preset shapes the AI suggestions and summary format to fit the meeting context.

Start Transcription

Click the Start button to begin recording and transcribing. The live transcript will scroll in real time as the conversation progresses. Both your voice and system audio will be transcribed.

View Live Suggestions

During the meeting, AI-powered suggestions appear based on the conversation context. These include "Say This" phrases tailored to your selected stance. Use them as guidance or inspiration for your responses.

After the Meeting

Auto-Generated Summary

When you stop the recording, Meeting AI automatically generates a summary of the meeting. This includes key discussion points, decisions made, and action items extracted from the transcript.

Exporting the Transcript

You can export the full transcript and summary as a text file. Use this for meeting notes, sharing with teammates, or keeping records.

Session History

All past meetings are saved locally in the session history. You can search, review, and re-export previous meeting transcripts and summaries at any time.

Mac Permissions

Microphone Permission

macOS requires explicit permission for apps to access the microphone. When prompted, click "Allow" in the system dialog. If you accidentally denied it, go to System Settings > Privacy & Security > Microphone and enable Meeting AI.

Screen Recording Permission

To capture system audio on Mac, Meeting AI needs Screen Recording permission. Go to System Settings > Privacy & Security > Screen Recording and enable Meeting AI. You may need to restart the app after granting this permission.

Why These Permissions Are Needed

Microphone access is required to capture your voice. Screen Recording permission is required by macOS for any app that captures system audio output. Meeting AI only uses these permissions for transcription during active sessions. No audio is stored or transmitted beyond your device.
