Emailr Setup Guide

Connect your email accounts and start managing them with AI. This guide covers setup for Gmail, Yahoo, and Outlook.

Getting Started

1. Subscribe

Head to the subscribe page and start your 30-day free trial. After payment, you will receive a license key via email.

2. Download Emailr

Download Emailr from the product page. Extract the ZIP file to your preferred location.

3. Install and Launch

Open the app. On Mac, you may need to follow the installation guide to bypass Gatekeeper. On Windows, click "More info" then "Run anyway" if SmartScreen appears.

4. Activate Your License

Enter your license key when prompted. This activates your subscription and unlocks all features.

Connecting Your Email

Overview

Emailr connects to your email account using IMAP (for reading) and SMTP (for sending). Most providers require an App Password instead of your regular password. This is more secure because the App Password only grants email access, not full account access.

Supported Providers

Gmail, Yahoo, Outlook (Outlook.com and Microsoft 365), and any email server that supports IMAP/SMTP. Each provider has slightly different setup steps, covered in the sections below.

Gmail Setup

Step 1: Enable Two-Factor Authentication

Go to your Google Account settings at myaccount.google.com. Navigate to Security, then turn on 2-Step Verification if it is not already enabled. This is required before you can generate an App Password.

Step 2: Generate an App Password

In your Google Account, go to Security > 2-Step Verification > App passwords (at the bottom of the page). Select "Mail" as the app and your device type, then click Generate. Google will show a 16-character password.

Step 3: Enter in Emailr

In Emailr, create a new workspace and select Gmail as the provider. Enter your full Gmail address and paste the 16-character App Password (not your regular Google password). Emailr will connect automatically.

Yahoo Setup

Step 1: Enable Two-Factor Authentication

Sign in to your Yahoo account. Go to Account Security settings and enable Two-step verification.

Step 2: Generate an App Password

In Account Security, click "Generate app password" or "Manage app passwords". Choose "Other app" and give it a name like "Emailr". Yahoo will display a generated password.

Step 3: Enter in Emailr

In Emailr, create a new workspace and select Yahoo as the provider. Enter your Yahoo email address and paste the generated App Password. The connection will be established automatically.

Outlook Setup

Option A: Outlook.com (Personal)

For personal Outlook.com, Hotmail, or Live.com accounts, enable two-step verification in your Microsoft account security settings. Then generate an App Password under "Additional security options". Use this App Password in Emailr with the Outlook provider selected.

Option B: Microsoft 365 / Exchange

For work or school accounts using Microsoft 365 or Exchange, Emailr can connect through Outlook Classic profiles on Windows. Open Outlook Classic, ensure your account is configured, then select the Outlook connection method in Emailr. The app will use the existing Outlook profile to access your email.

Note on Modern Auth

Some organizations disable App Passwords and require OAuth. If your organization uses this setup, the Outlook Classic profile method (Option B) is the recommended approach on Windows. On Mac, contact your IT administrator to confirm IMAP access is enabled.

Troubleshooting

Wrong Password Error

Make sure you are using an App Password, not your regular email password. Regular passwords will not work with IMAP for most providers. Generate a new App Password and try again.

IMAP Not Enabled

Some email providers have IMAP disabled by default. For Gmail, go to Settings > Forwarding and POP/IMAP and enable IMAP. For Yahoo, IMAP is usually enabled by default. For Outlook.com, IMAP is enabled automatically.

Connection Timeout or Firewall

If the app cannot connect, check that your firewall or antivirus is not blocking outgoing connections on ports 993 (IMAP) and 465 or 587 (SMTP). Try temporarily disabling your firewall to test.

Two-Factor Authentication Issues

If you recently enabled 2FA and the App Password is not working, sign out of your email account in a browser, sign back in with 2FA, then regenerate the App Password.
